Terms of Service

Last updated: September 2026

These Terms of Service ("Terms") govern use of ScholarBook by a university or research institution ("Institution", "you") and the staff and faculty accounts it creates. By signing in and using ScholarBook, you agree to these Terms on behalf of your Institution.

1. What ScholarBook does

ScholarBook lets your Institution's faculty submit their own published research (by DOI or, where no DOI exists yet, by hand), lets your research office review and approve each submission, and cross-checks approved submissions against open bibliographic registries (ORCID, CrossRef, PubMed, ROR) before treating them as verified institutional output. Approved, verified records can then be turned into reports, a self-service department portal, and a public research profile.

Nothing a faculty member submits becomes official institutional output automatically — it only counts once a person at your Institution reviews and approves it.

2. Accounts and access

3. Your responsibilities

4. Verification, not guarantee

ScholarBook checks submissions against independent, publicly available registries and shows you the result of that check (confirmed, contradicted, or inconclusive). This is meant to make your own review faster and more defensible — it is not a guarantee that every fact about a publication is correct, since the underlying registries themselves can occasionally be incomplete or wrong. Your Institution's own reviewer's approval is the final decision.

5. Reports and public profiles

A report, department portal, or public research profile ScholarBook generates reflects only the data your Institution has approved at the time it was generated. Your Institution is responsible for reviewing a report before submitting it for accreditation or any other official purpose.

6. Data ownership

Your Institution owns the roster, designation, and submission data it enters. ScholarBook does not claim ownership of it and will not use it for any purpose other than providing the service, as described in our Privacy Policy.

7. Service availability

We aim to keep ScholarBook available and reliable, but we do not guarantee uninterrupted access. We may need to take the service down briefly for maintenance, and we will try to keep disruption to a minimum.

8. Fees

Fees, billing, and payment terms for your Institution are set out in your Institution's own order form or agreement with us, not in these Terms.

9. Termination

Either party may end an Institution's access to ScholarBook as agreed in the Institution's order form or agreement. On termination, we retain the Institution's data for a reasonable transition period to allow export, then delete it, as described in our Privacy Policy, unless a longer period is required by law or agreed separately.

10. Disclaimer and limitation of liability

ScholarBook is provided "as is." To the fullest extent permitted by law, we are not liable for indirect, incidental, or consequential damages arising from use of the service, including decisions made based on a report or verification result it produced. Nothing in these Terms limits liability that cannot be limited by law.

11. Changes to these Terms

If we make a material change to these Terms, we will update the date at the top of this page and, where appropriate, notify Institutions directly.
