ScholarBookresearch output, verified
Frequently asked questions

Everything a research office asks us first.

If your question isn't here, write to info@researchedgeandpublication.com and we'll answer it directly.

How it works

Where does the research data come from?

From your own faculty. A faculty member (or a department admin on their behalf) submits a paper through their own portal — by DOI, or by hand if it doesn't have one yet. ScholarBook does not automatically pull or scrape a faculty member's publication list from anywhere.

How does verification actually work?

When a submission has a DOI, ScholarBook checks it against CrossRef and PubMed — open registries publishers submit records to directly — and checks the author against their own public ORCID record. If a submission has no DOI, it carries a direct link to the paper and the journal so your research office can check it by hand before approving.

Does a submission count as official output right away?

No. Every submission sits in a review queue until someone at your Institution — a department admin or your research office — approves it. Nothing becomes "your institution's output" automatically.

What if a faculty member doesn't have a DOI for a just-accepted paper?

They can submit it manually with the title, journal, year, and authors typed in, plus a link to the paper if one exists. It's marked self-reported until independently verified, and still goes through the same review step.

Can we still generate an annual research report and public profile?

Yes. Once a submission is approved, it becomes part of your institution's verified record, which powers your accreditation-ready report, your department portal, and your public research profile — the same record, reused everywhere it's needed.

Roles & access

Who can sign in, and who creates their login?

There's no public self-signup. Your institution's admin creates logins for department admins and individual faculty. A department admin can create logins scoped to just their own department.

Can we control exactly what a faculty login can see and do?

Yes. Each role (department HOD, Professor, Department Admin, or a fully custom role) has its own permission grid — read/write access per module (Publications, Roster, Research submissions, Awards, Departments, Roles, Courses). You can start from a premade template or build one from scratch.

Can one department see another department's data?

No. A department-scoped login only ever sees its own department's roster, submissions, and dashboard — enforced on the server, not just hidden in the interface.

Can another institution ever see our data?

No. Every institution's data is isolated from every other institution's at the application and database layer.

Data, security & compliance

Is our data encrypted and backed up?

All traffic is served over HTTPS/TLS. Passwords are hashed, never stored in plain text. An automated daily backup of the database and files is kept for 14 days. See our Data Security & Retention page for the full list.

Do you have a Privacy Policy, Terms of Service, and DPA?

Yes — our Privacy Policy and Terms of Service are public. A Data Processing Agreement is available on request for your legal team to review before signing.

Are you SOC 2 certified?

SOC 2 Type I is in progress. Write to us for our current HECVAT readiness summary while certification is underway.

How do we get our data deleted if we stop using ScholarBook?

Your own admin can remove roster entries or reject submissions at any time. For a full account deletion, email us and we'll confirm once it's done — details are in our retention policy.

Where is data stored?

On servers located in India. If your institution requires a specific jurisdiction, contact us before signing up.

Getting started

How do we get set up?

Write to us through the Get started page. We'll create your institution's admin login, and your admin can start creating department logins and inviting faculty to submit their own research right away.

Do faculty need to install anything?

No. Everything runs in the browser — sign in, and a faculty member can submit a paper in under a minute.
