Four steps, every one of them visible. Nothing becomes "your institution's output" until a person confirms it — not an algorithm, and never silently.
A faculty member adds their own paper through their portal — by DOI, or by hand if it doesn't have one yet. A department admin can submit on their behalf too. This is a submission, not yet institutional output.
Submitted by name, not discoveredCross-check the author against their own ORCID record, and (when a DOI is given) confirm the paper's own publisher-submitted metadata at PubMed or CrossRef — not a re-fetch of anyone's website, an open registry lookup.
Sources: ORCID, PubMed, CrossRefEvery submission goes to your research office before it counts — never silently accepted. A submission with no DOI also carries a direct link to the paper and journal so your reviewer can check it by hand.
Human decision, alwaysConfirmed output becomes a submission-ready volume, a page on your department portal, and an entry on your public research profile — the same verified record, reused everywhere it's needed.
